ADMINISTRATIVE COORDINATOR (PRODUCTION)

Brooklyn Academy of Music (BAM), an internationally recognized presenter of contemporary performing arts and cinema, seeks a full-time Administrative Coordinator to facilitate business operations and provide administrative support to the Production Department. The Administrative Coordinator reports to the Production Manager.

Responsibilities:
  • Serve as contact point in the production office and interact with both internal and external contacts in a friendly and professional manner.
  • Assist in hiring and writing contracts for all necessary show production personnel.
  • Provide assistance in processing stagehand, wardrobe, and production payrolls weekly
  • Create and disseminate payroll reports to departments who incur stagehand labor charges.
  • Create and disseminate year-end Stagehand payroll reports.
  • Administer departmental petty cash and support individual coordinators in their petty cash needs.
  • Track production department budgets, including accounts payable expenditures and petty cash
  • Update and otherwise facilitate the production calendar so that all schedules, crew and production assignments, are kept up to date.
  • Communicate with all departments to provide union labor for any in-house production needs and assign Production Coordinators for events as necessary.
  • Oversee purchasing and/or acquisition of Production office related materials.
  • Provide information regarding aspects of production plans
  • Communicate with Building Operations on day to day plant operation issues (heating, cooling, cleaning, water, and security) that affect performances and presentations at BAM.
  • Prepare and distribute production department information to departments affiliated with presentations at BAM including, but not limited to: Executive Management, General Management, Artist Services, Union crews, Building Operations and presenting Departments (i.e. Education and Humanities and Cinematek).
Requirements:
  • Bachelor's degree or equivalent
  • At least 1 year experience working as an office manager or office administrator
  • Detail oriented and proficient with numbers.
  • Ability to meet deadlines, prioritize goals and implement plans.
  • Time management skills; Ability to multitask and manage multiple projects.
  • Ability to understand and interpret contracts.
  • Ability to track expenditures and budgets.
  • Ability to create and track multiple schedules.
  • Excellent oral and writing skills.
  • Strong analytical skills.
  • Excellent communication and interpersonal skills.
  • Thorough knowledge of Microsoft Excel, Word, PowerPoint and Access.
  • Ability to work well under pressure, solve problems and resolve conflict.
  • Self motivated.
  • Willing to assist others and work in a team setting.
  • Willing to work on an irregular schedule when necessary.
  • Interest in BAM Programming
Compensation: The salary for this position is in the mid $30K's per year plus a full benefit package
